A picture really is worth a thousand words – which is why deficiency management and punchlist software including photos  in it’s reporting is so vital.   1. Locating the problem: Trying to point out one cracked tile in an entire kitchen back-splash or a loose knob in a storage system with only words would be a pain. Do you count the tiles? Get out a tape measure and give an exact inch by inch location? Or – Simply take a photo and circle and mark it up? Taking a photo of a room and circling deficiencies to highlight problems easily to contractors will save them time hunting it down, having to make multiple phone calls for clarification on location or skipping it altogether.

 

  1. Illustrating the issue: Once the issue has been located by using a marked-up photo as a guide, the next step is being able to easily attach a photo of the actual problem. Getting an up-close photo of a crack or gap and being able to leave notes about the issue, how to solve it or who to talk to about it is the next best thing to being there yourself. If a contractor is unsure about why the are investigating the particular section of the photo, having a close-up will clear up any confusion and clarify the issue with ease.

Documenting the process: From step A to Z, taking photos of work in progress is a great way to not only keep track of how your field teams are performing, but to provide quality assurance and guidance when you are not able to be on site. By keeping a visual guide of all steps and phases of a project you have a diary you can easily refer back to and share with clients. You can also easily oversee projects and ensure quality from start to finish without leaving the office.

 

  1. Reducing Call-backs: Once a project is ready to be turned over, having a thorough visual record of features, fixes and any outstanding issues can save you many headaches. Any issues found during the walk-through process that were addressed can be proven to your clients easily without having to return to the site. You can also keep a record of work performed in case of warranty issues arising in the future – the only defense against being accused of faulty, shoddy or otherwise incomplete work is being able to show the opposite. When you can solidly state that something was fixed and the issue is not due to your crews damaging something or failing to address a concern you will reduce the amount of free labor your company will be obligated to perform in order to solve problems that weren’t yours to begin with.
